1. REGISTRATION

1. How do I know what programs are available?

Our Active Programs & Events page lists current and upcoming programs and events. In addition to program specific information, the chart lists:

  • approximately when registration for all our programs begins & when late registration begins
  • what the fees cover
  • the ages for each program
  • links to further details about programs and events

2. What are the different forms of registration possible?

For first time registration in our new registration system, only two,

  1. set up an account so you can receive our communications, but not sign up and pay for a program. [Option 3 on the first screen – see screenshot below], or
  2. sign up for a program, event (such as buy tickets to a Cyclone’s game), make a purchase (such as a t-shirt or other product we may offer), register as a coach, or sign up as a sponsor. [Option 2 on the first screen]

In both cases you have to create an account under a parent’s name, which then allows you to register multiple children under the same umbrella account. You cannot completely sign up for a program without paying for it at the end of the process.

If you have already created an account in the registration system, then you will choose Option 1 for new program registrations and purchases.

You can view prior registrations and purchases by using Option 4.

3. How do I pay for registration and how much are the fees?

Payment can be made with credit or debit cards (MasterCard, Visa, Discover or American Express). All transaction fees are included in the price. A receipt will be sent to your designated email address once you have completed the transaction. The specific fee for a given sport or event is listed on the Active Programs & Events webpage once registration for the sport or event has begun.

4. Can I use any computer/web browser to register?

The new registration system works on PC and Mac. Firefox and Internet Explorer are the preferred browsers to use with our new registration system. Google Chrome and Safari should also work as long as they are up to date; however, if you experience problems with these browsers, please try again with Firefox or IE.

5. How do I register as a Coach?

Coach registration is a two step process. Click the Coach Registration Info link for more information.

  1. First, coaches must register in our registration system for every season and every sport in which they coach.
  2. Second, every coach must submit to a background check every 2 years.

When using our registration system to register as a coach, login to the account that you created to register your child(ren) for one of our programs. On the 78PYC Registration screen, select Coach Registration. On the Who are you registering? screen, select yourself or Add a New Participant to add yourself to your account as a coach. Fill out the information requested on the remaining screens and select Coach Registration at the Selection screen.

Complete the background check process as well if you have not done so in the past 2 years.

6. How do I register as or for a Sponsor?

To register as a sponsor, you will use our new registration system to enter information about your business and the sponsorship level you wish to choose. Click to learn more about how to Become a Sponsor.

When using our registration system to register as a sponsor, login to the account that you created to register your child(ren) for one of our programs. If you do not have an account nor a child participating in a 78PYC program, you can still create a new account in our system. On the 78PYC Registration screen, select Sponsor Registration. On the Who are you registering? screen, select yourself or Add a New Participant to add yourself to your account as a sponsor. Fill out the information requested on the remaining screens and select 78PYC Sponsor at the Selection screen and select the Sponsorship Level on the next screen.

7. Have I Registered Properly?

Registration for all programs, events and purchases you might make through our registration system will be confirmed by an automatically generated email that indicates basic details about the transaction. If you do not receive that confirmation email, you have not completed registration.

If you are unsure if the registration was finalized, choose Option 4 on the first screen of the registration system and look up your account.

8. What if I forgot my password or need to change it?

If you forgot your password, click on the “Don’t know your password?” link in Option 1 on the first screen of the registration system.

9. Is placement on a team guaranteed even if I registered on-time?

We cannot guarantee placement but we always try our best to place on-time registrants, then late registrants. The charts in the Program-Related Information below explain when late registrants are contacted. Even if a player is registered on time we may not have enough coaches or field or gym space. We try out best. We must rely on parents who volunteer to coach our recreational teams.

10. What if a Program is full?

For most programs, our registration system will allow you to sign up on a wait list. In that case you will not be charged the registration fee unless there is an opening and we inform you by email to register. A wait list may be created if the teams or clinics become full – which can take place at any time during the registration process. Our programs fill quickly, so we suggest you register as soon as registration for the desired program opens.

11. Is there a charge for late registration?

Yes, a $35 non-refundable late fee will be automatically added to your registration charges. Also, late registrants are not guaranteed placement on a team. If all of the teams are full, late registrants may have to be placed on a wait list; if they cannot be placed on a team by the third week of the season, they will receive a refund, less the late fees.

12. Can my child play in a younger or older age group?

If you want your child to play in another age group please read our policy and follow those instructions. The policy can be found on the Rules & Policies page of the site. In all cases you must register your child in the age appropriate division, then send us an email using the contact form on the Contact Us page informing us of your request. Please explain the reason for your request in detail. If permission is given to play in a different age group, we will manually make the change. But nothing can be done if a player is not first registered in his/her age appropriate division.

13. Can I request a particular teammate or coach?

In baseball, you will be able to register for a particular coach (if there is still room on that team), and for the Pee Wees (4 & 5 year olds) you make teammate requests since most are new. But we cannot guarantee your request will be honored – we will try our best. If your child wants to play on a baseball team with friends and has no particular coach preference, you should coordinate a team choice with the friends and register for the same team. Failure to be placed on a requested team does not entitle you to a refund.

In flag football and basketball, our primary goal is to balance the teams. Thus, teammate and coach requests are not taken. The one exception to this is our basketball clinic division (5 – 7 year olds), where you can register for a specific coach, as long as that session is not full.

Coaches automatically get their own children on the team (unless they don’t want them!). Children of assistant coaches are a part of the general draft, but coaches can work out trades subject to the approval of the Commissioner of the sport.

14. How do I register if my child is trying out for a 78PYC travel team (baseball or basketball)?

Usually the travel teams are not chosen until after registration for the same sports’ recreational program has begun. To avoid being closed out of the recreational program, if you child does not make a travel team, register your child in our recreational program. If you child is chosen to a travel team we will credit the recreational fee to the travel fee This is especially important in the baseball program because players are allowed to choose teams/coaches when registering and many teams fill quickly.

15. I can’t afford the fee, can I get help?

Financial Assistance to pay the registration fee is available. We never turn away a child because the fee cannot be afforded. All you have to do is submit an online Financial Aid Application with required Proof of Income. Requests for Financial Aid must be received prior to the earlier of the end of on-time registration or when the time the program is full (which may be prior to the originally stated date when on-time registration ends).

16. How do I cancel a registration?

Send us an email requesting a cancelation along with the specific reason via the contact form on the Contact Us page (the link for which is located in the footer of any page of our website).

17. What is the refund policy?

The general policy for RECREATIONAL PROGRAMS AND TEAMS teams (not travel teams) is:

if the written notice is received by us:

  1. 15 days or more before the scheduled start of the relevant season or session: 100% (less an admin fee and a late fee, if applicable)
  2. within 14 days of the scheduled start of the relevant season or session: 50% (less an admin fee and a late fee, if applicable)
  3. on or after the scheduled start date of the relevant season or session or once a player is drafted onto a team in Rec Basketball or Flag Football : No Refund.

It is in our sole discretion to give partial or full refund to players who do not follow our rules and policies or quit after having registered.   It is should be understood that our fees are set based on a projected number of players.  If a player is removed or quits, it is in our sole discretion to give partial or full refund and can withhold any such refund if and until a substitute players is obtained.

It is in our discretion to deny a refund if we believe the request is the result of “organization shopping,” or if a player is removed from a team or program due to a violation of our rules and codes of conduct. Registrants are not entitled to a refund because they weren’t placed on a team, a division, or a camp or clinic group they requested.

TRAVEL TEAMS: Once a player accepts an offer to play on a travel team, no refund shall be granted as the fees and expense commitments are based on the final number of players on the roster.  If a player drops off a travel team and has not fully paid the fee and the organization has advanced expenses payments on behalf of that players (such as uniform costs), the parent must whole the organization.

Late fees are not refundable, along with wait list fees (if specified).

Refunds are processed approximately 30 days after the start date of the program for which the refund is requested.

18. Is there a refund if an individual session(s) of a program is canceled due to circumstances outside the organization’s control?

Since activities of 78PYC are held in public school gyms and public parks, they may be canceled or postponed, due to school events, renovations, weather, construction or other circumstances beyond our control. Neither this organization nor any leagues or tournaments in which it plays will provide refunds due to such cancellations.

19. What is the refund policy relating to tickets purchased to outside events?

If an activity relates to the sale of tickets to an outside event, such as a major league baseball game or photographs taken during our photo days, such purchases are subject to the restrictions (such as refunds, returns, transferability or rescheduling) made by such other organization and that 78PYC is not responsible to resolve such issues.

20. Use of photos and videos of our programs:

From time to time the names and/or images of registrants may be publicly listed on the 78PYC website or other media to, for example, indicate what teams they are on or if they have purchased tickets to an event. When registering you give us permission to make such listings and/or displays. Should you change your mind, please inform us directly in writing.

2. What is the difference between recreational and travel (Bulldogs) baseball teams?

Recreational teams play in the Spring. The season ends around Fathers Day in June, the games will total about 12-14, which are played mostly in Prospect Park (although they may play in other fields), all players who register on time are selected to a team (as long as there are enough coaches), requests to play with a particular friend and/or coach is usually honored (unless the teams reach their maximum), the rules require minimum playing time for each player, and the competition is generally of a lesser nature. The recreational players ages 4-8 year olds play internally amongst only the 78th Precinct Youth Council teams. Ages 9+ play against both 78th Precinct Youth Council teams and the other teams in the Prospect Park Baseball Association.

Travel Teams (Bulldogs): play a season that ends around mid-July, they will go to tournaments out of town (such as over Memorial Day weekend), games will total as much as 30-40, games and will be played in various parks around Brooklyn, players are selected after trying out, there is no guarantee of equal playing time, there will usually be weekly practices in addition to games, and the competition will be higher than intramural baseball.

3. Baseball Opening Day Parade: When is the parade up 7th Avenue to kick off the baseball season and where and when should we meet?

The parade is usually the first Saturday of the spring baseball season. The exact date and the time and location to meet will be announced by email and will be posted on our website.

All players should be in full uniform and all the teams should go to the Bandshell in Prospect Park at the end of the parade to support our organization at the opening day ceremonies.

4. Can my child play in a younger or older age group?

6. What is the difference between recreational and travel basketball teams?

Recreational teams play amongst 78th Precinct Youth Council teams in local public school gyms on the weekends only and on teams we attempt to balance based on evaluations. These teams play about 12 games and then in an end of season tournament. There are strict rules that require a minimum playing time for each player.

Travel Teams: Travel teams play more than twice as many games as recreational teams. Players must make the team. There are no minimum playing time rules and practices and games can be during the week at night and during the weekends. The games are played in outside league and tournaments against teams from other organizations.

8. Do we try to place players on teams so that the competition in our recreational divisions will be equivalent (i.e. balance teams)?

Yes, we do. For basketball and flag football we hold mandatory evaluations and drafts where the coaches select players based on the players’ ratings, Requests to play with a particular player or coach are considered at the end of the draft. If not accomplished during the draft, a trade must be requested and approved by the commissioner. If a player fails to attend an evaluation and he or she is permitted to be in the draft, he or she runs the risk of being traded to another team during the season.

For recreational baseball we allow the players to request teams until the age of 8 because skills are so nascent, and for the 9-12 year olds, there are so many teams that they are allocated to divisions based on the coaches’ assessment of the team’s level of skill. We can therefore allow the players to play and stay with their friends and coaches over the years (as long as there is enough room on the rosters).

1. Communication Basics

For all communications, please use the contact form, which is accessed using the Contact Us link in the footer at the bottom of any page of our website. To assure prompt and effective communication, please always indicate the first and last name of the child whose program you are referring to, his/her age, and the specific program to which you are referring.

Our primary ways to communication with you are emails and postings on our website. We also post local community listings.

Our communication with you is only as good as the contact information you give us. If you change your address, phone or email address, please remember to update it in our registration system [use Option 4]. We cannot do it because we do not have your password.

Please let us know how we are doing, we need your input to help us to continue to provide the best experience for your kids.

2. Can you provide me with notice when registration begins?

E-mails are sent to all active registrants in our current database, notifying them that registration for a sport has begun. Active registrants are those who have registered for any sport or setup an account in the new registration system. WE ADVISE YOU NOT TO DEPEND ON THAT NOTIFICATION. Every year some members are shut out of registration because they did not receive the email (invalid email address in the system, message caught by a spam filter, etc.), and did not check our website on a regular basis.

In addition to posting notices on our website and emailing active registrants, we also attempt to post notices on local bulletin boards and flyers at local schools. We need your help to make these postings. If you can help, please tell us by using the contact form on the Contact Us page and send a message to Volunteers.

3. If a child is injured in the gym or on a field, what should I do?

Ask if there is a doctor present and a parent of the injured child. If so, let the doctor and/or parent take over, if he/she chooses. If not, call 911 immediately. 4. What happens if my child is injured?

We carry accident insurance to supplement your policy. If your policy does not cover the costs, contact us and we will get you the necessary information. Email us using the contact form, which is accessed using the Contact Us link in the footer at the bottom of any page of our website.

4. CANCELATION OF SPECIFIC GAMES OR CLINIC SESSIONS

1. How can I find out if a game or clinic is canceled?

The hotline numbers can reached by clicking on the ‘Hotlines’ link in the header of any page of this website. Use the 78PYC hotline for all baseball games for ages 4-8. Use the Prospect Park Baseball Association hotline for all baseball games for ages 9-17 and all softball games.

If the hotline does not specifically cancel your game, the game is on, go to the field – unless you receive a communication from your coach saying the game is canceled

Football and Basketball games and Football, Basketball and Baseball clinics held in the gyms are rarely canceled. Even heavy snow will not cause a cancelation because the custodians keep the sidewalks clear at all times. You can check our hotline and the home page of our website but we rarely use them to communicate cancelations.

Travel Baseball and Basketball cancelations depend on the league/tournament in which the team is playing. Ask the coach on how to proceed.

2. Will there be Makeup Games?

Generally we do not schedule makeup games. That is because all available gym and field slots are scheduled in advance. It is possible that baseball fields might be available for makeups. You will have to access the policy of the Prospect Park Baseball Association website to see if and how they handle it.

5. SPONSORSHIP, DONATIONS, PICTURE DAYS, EVENTS

1. How can I or my company become a sponsor?

There are different options. Click on the “Support Us – Become a Sponsor” link in the header of any page of our website to learn about the options. Our registration fees do not cover all our expenses, so please help us identify sponsors.

2. How can I make a donation?

Whenever you sign up for a program you are offered the opportunity to make a donation when you get to the financial options screen for the program you are registering for. You can also login to our registration system at any time and make a donation without registering for a sport program by selecting Donation on the program Selections screen. Thanks for your support!

3. What are Picture Days?

For all our programs we set aside a day for an outside photographer to take both team and individual pictures. This is a fund raising opportunity for us because we receive a portion of their proceeds. Regardless of whether you want to purchase pictures, please have your child attend the team picture shoot because when we have sponsors for a particular program, we promise the sponsor a team picture plaque.

Picture days are announced by email and on our website. On the site we will place a PDF of the order form for you to download. Please download and complete the form before coming to make the process less time consuming.

4. BASEBALL OPENING DAY PARADE: When is the parade up 7th Avenue to kick off the baseball season and where and when should we meet?

The parade is usually the first Saturday of the spring baseball season. The exact date and the time and location to meet will be announced by email and will be posted on our website.

All players should be in full uniform and all the teams should go to the Bandshell in Prospect Park at the end of the parade to support our organization at the opening day ceremonies.

1. What is Positive Coaching?

We are a member of the Positive Coaching Alliance. Information about our membership and what it means is located in our Positive Coaching Policy, which can be accessed from any of the program sections of our website. We expect all parents and coaches to adhere to our rules and policies and to use positive reinforcement as the primary means of interacting with the players, officials and other coaches. Youth sports is not adult entertainment. It is an opportunity for children to learn, grow and have fun.

7. VOLUNTEERS

1. Are volunteers needed and if so how can I volunteer?

We are always in need of volunteers. Coaches in all our recreational leagues (baseball, basketball and flag football) are volunteers. When registering your child for a program you will be presented with a screen that allows you to make a volunteer selection. Our organization is only as good as its volunteers. Thank you!
